
Getting Started as a GigSync™ Band Leader
A Band Leader's Guide to Managing Your Band
Welcome to the GigSync™ Mobile App, the ultimate tool for band leaders to manage their bands, gigs, and musicians effortlessly. Follow this guide to get started.
Creating a Band
Log In to Your Account
Open the GigSync™ app and log in using your Google credentials.
Change to Band Leader
If not already in the Band Leader version, tap on the 'Switch to Band Leader' option in the main menu.
Select 'Bands' from the main menu.
Add A Band
Tap the "+" at the bottom right of the Bands page.
Fill in the band name.
Enter a genre, if you like.
Tap 'Add' to create your band.
Repeat for All Your Bands
Repeat the Add A Band (3) step for all bands you would like to manage in GigSync™

Setting Up Your Band
Before you start using Band, there is a little bit of setup to do to maximize GigSync™ features and functionality.
Set Up Band Instrumentation
The instrumentation of your band can be as complex or as simple as you like. Be sure to check the "Must have for gigs?" option if the instrument is required.
Access Your Band Profile
From the 'Bands' page, select your newly created band.
Manage Instruments
Tap on 'Settings'.
Tap on 'Manage Instrumentation & Musicians'.
Select '+' to create a new entry.
Specify the instrument name (e.g., Guitar, Drums, Saxophone).
Check 'Must have for gigs?' if your band cannot play a gig without this instrument.
Confirm by selecting 'Add Instrument'.
Continue for all Instruments in the Band
Repeat the Manage Instruments (2) step for all instruments in your band.
Free: Up to 8 Instruments
Paid: Up to 25 Instruments
Assigning Musicians to Instruments
Instrument List
Under 'Instruments', view the list of instruments you've added.
Assign Musicians
Tap on the instrument to which you want to assign a musician.
Select '+' at the bottom right of the screen.
Enter the Musician's information:
First Name
Last Name
Email (Will be used to send communications for Gig Availability)
Phone Number (Will be implemented with future functionality)
Tap 'Add' to add Musician to Instrument.
Managing Musicians & Instruments
Musician Ordering
GigSync™ is designed as a Gig Availability call tree. For each Instrument, the order of Musicians is the call order for Gig Availability requests. To rearrange the Musician Order for an Instrument, drag and drop to the preferred ordering.
Editing a Musician
From the Instrument Detail page, tap on a Musician to change their information and/or delete the Musician.
Editing an Instrument
From the Instrument List page, tap and hold an Instrument to edit and/or delete it from the Band.
Important Note: Changes made to the Band, Instruments, and Musicians will not update any previous usage of the information. For example, if a Gig Availability request was made and then an instrument was removed from the Band, all Gig Availability requests going forward will reflect the change.
Gig Management
Overview of Scheduled Gigs
The 'Gig' page provides a comprehensive view of all upcoming and past gigs.
Add A Gig
Tap the 'Gigs' option in the bottom menu for the selected Band
Tap the '+' at the bottom right to add a new Gig
Complete the Gig Details step
Gig Title (Required)
Gig Pay (Required - This value is only for the Band Leader. Musician Pay rates are set with Gig Availability requests)
Gig Notes (Optional - parking instructions, etc.)
Complete the Gig Times step
Gig Start (Required - Also the same as "downbeat")
Gig Arrival (Optional - Add if there is a specific Arrival time before the Gig Start)
Gig End (Optional - Add if there is a specific End time for the Gig)
Complete the Gig Venue step
If you have already entered the Venue, select it from the dropdown. Otherwise, tap 'Add New Venue' to create the Venue Once created, the Venue(s) will exist on your account for all GigSync™ usage (Band Leader and Musician).
Complete Instrumentation step
Select all Instruments for this Band that will be on this Gig. All Required Instruments are selected by default and cannot be deselected.
Complete Gig Updates step
If the Venue has already confirmed the Gig (Date and Pay), toggle 'Venue Confirmed?', otherwise, leave off to mark confirmed later.
Review Gig Details and Save
Confirm all information is correct and fix any errors.
Tap Save to add the Gig
Edit or Cancel Gigs
Select a gig from the list.
Choose 'Edit' (pencil) to modify details or 'Delete' (trash can) to remove the gig.
Confirm any changes.
Request Gig Availability
Open a Gig to Request Availability
Tap 'Request Availability' to start request
Complete Pay Amount per Musician
Based on the number of Instruments on the Gig and the Gig Pay, the Pay per Musician is calculated. This can be changed but must be the same value for all Musicians right now.
Send Requests
Tap 'Send Requests' to request availability from all Musicians in the Band.
How does this work? For each Instrument on the Gig an email is sent to all of the Musicians in the #1 spot for the Instrument. If the Musician is also a GigSync™ user, a notification message in the app will be sent, as well. Each Musician will reply to the email which will send you the response to your email.
Update Availability
Open the Gig
Slide the Availability to the right (green) for Confirmed or left (red) for declined.
If Confirmed, there are no additional actions for the Instrument
If Declined
If there are more Musicians for the Declined Instrument, a notification will automatically be sent to the next in line until all musicians for that Instrument have responded.
If there are no more Musicians for the Declined Instrument, the Instrument will display a Musician is needed message. Additional management beyond this list will be managed outside of GigSync™ as the functionality to add Musicians to Gig Availability requests is being worked for a later release (as of 0.2.7).
Mark Paid
Once you have received the payment for the Gig, mark it Paid by opening the Gig and tapping 'Mark Paid'
